3 Executive Roundtable email invite templates that work

6 minute read.

How do you stand out in a sea of email invites that high-level executives get every week?

Content, customer speakers and venue are all key. It takes a lot of work to get these 3 components right. It makes it sad to see that when a company does get it right, they let themselves down with poor email invites that end up in Junk.

The basics

Designed email vs simple….the answer every time is simple. Designed emails may look nice but set off spam filters, so your email may never get delivered. If it is, it may never get read as the executive deletes it in their inbox.

People want to feel special and that this invite is specific to them. Running the email templates below at a massive scale is impossible. They are built for campaigns where you want particular accounts in the room. They will take time to compose and personalise, but that is what is needed to stand out from the crowd.

So here are three email templates to get more people to your next executive roundtable.

Template 1 - The C-Suite Executive Email

This invite is for C-Suite executives who get the most invites and often read them off their phones. So it needs to be short, snappy, personalised and optimised for mobile viewing. You also want to make it easy for them to register by letting them reply as a form of registration.

Subject: Invitation for <Insert Name>

Hi <Insert Name>,

<Personalisation Line - Talk about a recent article/LinkedIn post, speaking occasion, company win…show this email was meant for them>.

I'd like to invite you to a <Insert Executive Role> Roundtable about <insert topic - short version>

This discussion led by <Insert customer speaker> will aim to help <Insert Executive Role> from <Insert something around their business - e.g. SMB, Industry> to <Insert the biggest takeaway they will get from the event>.

The roundtable will be held on <Insert Date> at <Insert Venue>. If you want to register or for more information, please click here. We can also register you for the event by replying to this email.

Thanks,

<Your Name>

Template 2 - The Specific Job Role

This invite is for when you are targeting a specific job role or function in an organisation. For example, it may be the heads of architecture or employee engagement. These invites need to show why this is built for them and the value they will get from it.

Subject: Invitation for <Insert Name>

Hi <Insert Name>,

<Personalisation Line - Talk about a recent article/LinkedIn post, speaking occasion, company win…show this email was meant for them>.

I would like to invite you to a <Insert job Role> Roundtable about <insert topic - short version>

This is a rare occasion for <insert job role> to get together, and the discussion led by <insert customer speaker> will cover the following;

  • <Insert Major Takeaway 1>

  • <Insert Major Takeaway 2>

The roundtable will be held on <Insert Date> at <Insert Venue>.  If you want to register or for more information, please click here

Thanks,

<Your Name>

Inviting a Current Customer

It is always wise to invite a few customers to your events. This ensures you have fans in the room and aids with future rebooks. Here is a template you can use to invite them;

Subject: Invitation for <Insert Name>

Hi <Insert Name>,

<Personalisation Line - Talk about a recent article/LinkedIn post, speaking occasion, company win…show this email was meant for them>.

We are running a <Insert Job Role> roundtable around the topic of <insert topic - short version>. The roundtable will be held on <Insert Date> at <Insert Venue> and led by <Insert customer speaker>.

We think you could get value from it due to <personalisation line - why they would enjoy it. If you have nothing, use major takeaways>

If you want to register or for more information, please click here

Thanks,

A Bonus Tip

I often get asked how we find who we should invite from our target organisations. I recommend using a tech stack using LinkedIn Sales Navigator to get a picture of who to invite and apollo.io or Lusha to source emails. You can also use buyer intent tools such as Bombora or 6Sense to understand better where to prioritise invitations.
